Inventory Management Software in Pakistan: What to Look For
What wholesale and retail businesses in Pakistan need from inventory software, when to buy or build, questions for vendors, and hidden costs.
By Muhammad Shahbaz · · 7 min read
Short answer: Good inventory software for a Pakistani wholesale or retail business tracks stock by item and branch, handles purchases, sales, returns and credit, and reports what you own and what it is worth. If your business is a Tier-1 retailer, it should also connect to the FBR POS system. Buy ready-made first; build only when your workflow truly differs.
Why inventory software matters for Pakistani businesses
Most wholesale and retail shops start with a register, a spreadsheet or a basic billing app. That works until stock sits in more than one place, prices change often, or customers buy on credit. Then you start to lose track of what is on the shelf, what is owed to you and which items actually make money.
Inventory software puts all of this in one record. The goal is simple: know what you have, where it is, what it cost and what it will sell for. This guide explains the features to expect, how to decide between buying and building, what to ask a vendor, and what costs people forget.
Features wholesale businesses need
Wholesale and distribution have different needs from a single shop. Look for:
- Multiple units of measure. You buy in cartons and sell in pieces, dozens or kilograms. The system must convert between them without manual maths.
- Batch, expiry and serial tracking. Important for food, medicine, cosmetics, electronics and anything with a warranty.
- Multiple price lists. Different prices for dealers, shops and walk-in customers.
- Customer credit and ledgers. Track dues, credit limits, cheque dates and recoveries by salesman or area.
- Purchase orders and supplier ledgers. Record what you ordered, what arrived and what you still owe.
- Multi-warehouse stock and transfers. See stock in each godown and move it with a record.
- Salesman and route tracking. If you run vans or field sales, assign orders and recoveries to people.
- Reports you can act on. Fast and slow moving items, stock value, profit by item, reorder alerts.
Features retail shops need
Retail is faster and more counter-focused:
- Barcode scanning and label printing.
- A quick POS screen that works through a busy day and handles discounts, returns and exchanges.
- Multiple payment modes, including cash, card and QR payments.
- Branch-wise stock and sales, with one view for the owner.
- Variants such as size and colour for clothing and footwear.
- Offline mode. Internet drops happen. The system should keep selling and sync later.
- Staff roles and permissions, so a cashier cannot change prices or delete bills.
The FBR question
If you are a Tier-1 retailer, the software must also issue invoices through the FBR's POS integration. Under the Sales Tax Act, 1990 (section 2(43A)), the FBR's FAQ lists chain stores, retailers in air-conditioned malls or plazas, retailers above an electricity bill threshold, and wholesaler-cum-retailers. In November 2025 the FBR also issued S.R.O. 2071(I)/2025, which press reports describe as making integration mandatory for distributors and retailers above set withholding tax limits.
We cover this in detail in our FBR POS integration guide. The short version: ask every vendor to show a working FBR connection, and confirm your own status with the FBR or your tax advisor.
Buy or build: honest criteria
Neither choice is always right. Use these questions.
Buy ready-made software when:
- Your workflow is common: standard billing, stock, purchase and reports.
- You need to start within days or weeks.
- Your budget is limited and you can adapt your process to the tool.
- The vendor has a working FBR connection (if you need it) and supports it.
- You are fine with the vendor's roadmap and update schedule.
Build custom software when:
- You have rules that no product handles, such as special pricing by area, complex credit terms or unusual unit conversions.
- You need links to other systems: accounting, WhatsApp orders, delivery, an online store or a field sales app.
- You have outgrown several tools and your team spends hours moving data between them.
- You want to own the system and control changes.
- You can accept a higher upfront cost and a longer start.
A middle path
Many businesses start with a ready-made tool and later build only the missing pieces, such as a custom report, an order app or an integration. This lowers risk. Before you commit to either route, write down your five most painful daily problems. If a product solves four of them, buy it. If it solves one, think about building.
Stuck Media, a software company in Multan founded in 2023, builds custom POS, ERP and CRM systems as a service. We would rather tell you to buy a ready-made product when that fits than sell you a build you do not need. See custom inventory, POS and ERP development and our pricing page for how we scope work.
Questions to ask any vendor
Put these to every vendor, ready-made or custom, and get the answers in writing.
- Can you show my exact workflow working, not a generic demo?
- How do you handle cartons to pieces, batches and expiry?
- What happens when the internet goes down?
- Is the FBR POS connection working today? Who maintains it when rules change?
- Where is my data stored, and can I export it in a standard format any time?
- Who owns the data and, for custom work, the source code?
- What does support include: hours, language, response time, on-site visits?
- How are updates delivered, and do they cost extra?
- Can you import my existing items, customers and opening balances? Who does the cleaning?
- What does it cost for the second branch, extra users or extra devices?
- Can I talk to a current user in a business like mine? (Ask for contactable references, and call them.)
Hidden costs to plan for
The licence or build price is rarely the full cost. Budget for:
- Hardware. Barcode scanners, receipt printers, label printers, cash drawers, tablets or PCs, and a router with backup internet.
- Data entry and cleanup. Loading thousands of items and fixing duplicate or missing names takes real hours.
- Training. Staff need practice time, and you will lose some speed at first.
- Per-user, per-branch or per-device fees in subscription tools.
- Integration fees. The FBR said PRAL integration is free under S.R.O. 69(I)/2025 (Business Recorder, June 2025), but third-party integrators and software vendors may charge. Confirm in writing.
- Customisation and change requests after launch.
- Backup, hosting and security, whether cloud or on a local server.
- Switching costs. If you leave, how hard is it to take your data?
- Your own time. Someone in your team must own the project.
A simple rollout plan
- List your items, units, price lists and branches.
- Shortlist two or three options and run a trial with real data.
- Clean your item list before importing.
- Start with one branch or one counter, run it beside the old method for a short period, then switch fully.
- Review the reports weekly for the first month.

FAQ
Questions on this topic. Answered.
What is inventory management software?
It is software that records stock movement: purchases in, sales out, returns, transfers and adjustments. It shows current stock, value and reorder needs.
Do I need FBR integration in my inventory software?
Only if the rules apply to your business, mainly Tier-1 retailers and, per press reports from November 2025, distributors and retailers above set withholding tax limits. Check with the FBR or your tax advisor.
Is cloud or local software better?
Cloud works well with several branches and remote access, but needs reliable internet or an offline mode. Local software can run without internet but needs backups and maintenance. Pick based on your connectivity and your team.
Should a small shop build custom software?
Usually not at first. A ready-made tool is quicker and cheaper for standard needs. Consider custom work when you have clear needs no product meets.
How long does it take to set up?
It depends on how many items you have, how many branches, and the quality of your data. Ask each vendor for a written timeline and what they need from you.
